Job Description

1st Shift Office Administrator 
Pay: $20-$22/hr. (depending on experience)
Hours: 7:30 AM to 4:00 PM with a half hour unpaid lunch 
Interviews and resume required 

Direct and coordinate the overall day to day paperwork flow in the office.  This role requires accuracy and the ability to multitask as several functions beyond the primary focus of order entry and invoicing are required.  Shows drive and brings innovation to teams and processes that achieve the company's short- and long-term goals. This role reports to the Operations Manager.

Responsibilities:
  • Excellent communication skills, including grammar and professional demeanor with a variety of customers
  • Provide excellent internal communication and resource planning to ensure a high level of efficiency
  • Create and maintain customer files
  • Confirm order shipment date and pricing once reviewed by Operations Manager and Sales
  • Book incoming orders through Paperless Parts and JB2.
  • Invoice customers using JB2.
  • Assist with training of order flow with logistics & delivery coordinator and any other personnel as required
  • Assist in customer drawing retention and revision accuracy
  • File customer files according to company scheme
  • Manage office supplies and ordering of required materials
  • Proficient in the Microsoft Office suite (Word, Excel, Outlook)
  • Analyze data and analytics to ensure sound financial decisions are made
  • Participate in process improvement
  • Assist in obtaining new business
  • Work with management to set operations goals and standards for continuous improvement

Job Requirements

  • Proficient in Microsoft Suite /Excel
  • Customer Service
  • Experience with ERP systems
  • Good verbal and communication skills
  • Computer skills including Data Entry
  • Background check 
  • Eligible to work in the US
