Job Description

Our client, a leader in the HVAC Commercial Construction & Service industry, is looking for an HVAC Estimator to develop accurate, detailed cost estimates and proposals for commercial HVAC projects including construction, retrofit, and design-build opportunities.

Salary range will be $85-$95K with a potential for a bonus.

Qualified candidates will need to have a bare minimum of 5 years of experience in commercial HVAC estimating.

JOB DUTIES:
Project Estimation and Bid Preparation 
  • Analyze mechanical drawings, specifications, and scope documents to prepare detailed cost estimates for HVAC systems. Identify labor, material, and subcontractor needs; assess risk factors; and compile competitive, compliant proposals. 
Plan Review and Quantity Takeoffs 
  • Perform accurate takeoffs of ductwork, piping, and equipment from design documents. Use estimating software to calculate costs and verify scope completeness. Recommend value-engineering options to enhance cost efficiency and system performance. 
Vendor and Subcontractor Coordination 
  • Request and review vendor and subcontractor quotations. Compare pricing, lead times, and specifications to ensure completeness and alignment with bid requirements. 
Team Collaboration and Communication  
  • Coordinate with project managers, engineers, and field leaders to validate project requirements, jobsite conditions, and manpower projections. Support preconstruction and design-assist efforts when applicable. 
Documentation and Reporting 
  • Maintain organized estimate files, bid logs, and historical cost data. Ensure all documentation is accurate, up-to-date, and entered into estimating software and company systems. 
Process Improvement and Cost Tracking 
  • Support continuous improvement of estimating templates, cost databases, and bid tracking tools. Provide feedback to leadership on bid accuracy and win/loss metrics. 
Training and Professional Development 
  • Participate in internal estimating workshops, manufacturer training, and industry seminars to maintain technical and market knowledge. 
Field Coordination Support 
  •  Assist project teams with budget reviews, change order pricing, and cost validation during construction. 
Customer and Partner Engagement 
  • Attend client meetings, pre-bid walkthroughs, and project debriefs as needed to represent the company professionally. 
Safety and Compliance Awareness 
  • Maintain awareness of OSHA standards, jobsite safety practices, and applicable building codes related to HVAC design and installation.

Job Requirements

SKILLS: 
Required
Technical Estimating Proficiency 
  • Strong understanding of mechanical systems including HVAC, hydronics, ventilation, and refrigeration. Proficient in reading blueprints and mechanical drawings. 
Analytical and Mathematical Skills 
  • Accurate numerical and spatial reasoning with proficiency in labor factoring, unit costing, and productivity analysis. 
Software and Systems Proficiency 
  • Experience with estimating software (e.g., QuoteSoft, Trimble, FastEST, or similar), Microsoft Excel, and project management tools. 
Communication and Collaboration 
  • Effective written and verbal communication skills; ability to interface with engineers, vendors, and clients in a professional manner. 
Organization and Time Management 
  • Strong prioritization and multitasking abilities to meet multiple bid deadlines with attention to detail and accuracy. 
Integrity and Accountability 
  • Demonstrates honesty, transparency, and ownership in all estimating processes and communications. 
Preferred 
• Experience with mechanical contracting or construction firms. 
• Familiarity with Sage 100 Contractor, Procore, or Factor. 
• Experience with design-build or plan-spec estimating. 
• Knowledge of Local 597 labor cost structure and productivity factors. 
• Degree or certification in Mechanical Engineering, Construction Management, or related field.

QUALIFICATIONS 
Required 
• 5+ years of experience in commercial HVAC or mechanical estimating. 
• Proficient in mechanical plan review, takeoffs, and cost analysis. 
• Valid driver’s license and ability to travel to jobsites and pre-bid meetings. 
• Ability to sit, stand, and work at a computer for extended periods. 
Preferred 
• 10+ years of commercial HVAC estimating experience. 
• Background in field installation or service work. 
• Experience estimating design-build or negotiated projects.
